ACK Master’s Degree Academic Scholarship Policy and Procedure

PURPOSE

To ensure that clear guidelines are available regarding criteria for allocation of ACK Academic Scholarships for Master’s Degree studies at Central Queensland University (CQU) Australia.

SCOPE

This document applies to all Degree level graduates from ACK.

POLICY STATEMENT

  • The ACK Scholarship Committee consists of the following individuals:
    • Vice President – Academic Affairs; Committee Chair
    • Dean – Admission & Registration;
    • Dean – School of Engineering;
    • Dean – School of Business;
    • Registrar;
    • Senior Manager – Student Affairs;
    • Senior Manager – Office of the Vice President – Academic Affairs;
    • Any other individual appointed by the Vice President – Academic Affairs to participate in the absence of a committee member.
  • As part of its commitment to recognise outstanding scholastic achievement, ACK has allocated funds to award a Master’s Degree Academic Scholarship to an outstanding ACK Degree level graduate for the purpose of covering tuition fees for a Master’s level course related to Engineering or Business at CQU.
  • Applications for an ACK Master’s Degree Academic Scholarship will only be advertised and considered once each year and will close one week after the official publication of results for the Spring semester. Alumni graduated in any previous semester are also invited to apply at that time.
  • Master’s level ACK Academic Scholarships cover the full tuition fees for the normal period of a Master’s level course, subject to maintaining an average grade result of Distinction (D) or better each semester.
  • Students with a record of violation under the CQU policies and procedure or who breach any Australian Immigration requirements will have their Academic Scholarship revoked immediately.
  • Applications for a Master’s Degree Academic Scholarship must be submitted using the ACK Master’s Degree Academic Scholarship Application Form (ACK.FO.AR.210.01).
  • The key criteria in considering Applications for Master’s Degree Academic Scholarships (refer form ACK.FO.AR.210.02. for specific details) are:
    • Not in receipt of any other Scholarship or Financial Bursary towards their Master’s study;
    • Minimum GPA of 3.80 out of 4 or 6.65 out of 7 (i.e., 95%);
    • Submission of written statement in support of their application and explanation of future life-career goals as well as proposed future mentor support to ACK students after graduation from CQU;
    • Attendance and performance at an interview with selection panel.
  • Only one (1) Master’s Degree Academic Scholarship is available each Academic Year and accordingly applicants should provide as much detail as possible on the application form.
  • Selected ACK Master’s Degree Academic Scholarships may be “named” by the Scholarship Committee in honour of present or past Board and/or Executive members.

General Rules and Conditions

  • ACK Master’s Degree Academic Scholarships are only available to ACK Degree level graduates;
  • Master’s Degree Academic Scholarships are allocated yearly and cover the tuition costs for Master’s level study at
    CQU for the normal duration of the course;
  • Applications must be submitted using the ACK Master’s level Academic Scholarships Application (ACK.FO.AR.210.01);
  • The ACK Scholarship Committee will reject any application with incomplete data;
  • Graduates will not be eligible to apply if they have a record of violation under the ACK Student Code of Conduct Policy and Procedure (ACK.PLR.SA.01) or Code of Academic Integrity Policy and Procedure (ACK.PLR.VPAC.09);
  • All applications are treated with utmost confidentiality in accordance with Student Records Privacy Policy (ACK.PL.VPAC.34);
  • The College cannot guarantee the availability of a Master’s Degree Academic Scholarship to any particular student;
  • The ACK Master’s Degree Academic Scholarship is only available for study at CQU and is subject to successful enrolment by the student at CQU within the required time. In this regard, the ACK Master’s Degree Academic Scholarship will be offered to the successful applicant by the end of June in the appropriate year. If the successful applicant does not complete the CQU registration and necessary legal requirements by the end of October in the year of allocation then the scholarship will be revoked. It will then be offered to the second place applicant provided CQU registration and necessary legal requirements can be obtained in time to commence study in Australia at the start of the February semester in the following calendar year. If no Master’s Scholarship is commenced in any year then an additional Master’s Scholarship will be offered the following year.

CONTROL OF PROCESS

The following procedures relate to the process for student applications for a Master’s Degree Academic Scholarship and subsequent consideration by the ACK Scholarship Committee.

Timeline regarding ACK Master’s Degree Academic Scholarship Applications:

Students wishing to apply for a Master’s level Academic Scholarship should:

  • Download the ACK Master’s level Academic Scholarship Application Form (ACK.FO.AR.210.01) from the ACK Portal;
  • Complete all sections of the Application Form;
  • Attach all required documents;
  • Include a full description of circumstances associated with the application;
  • Submit the Scholarship Application Form (ACK.FO.AR.210.01) and all associated documents by the required deadline in a sealed envelope marked “Confidential to the Senior Manager - Office of the Vice President – Academic Affairs”; and
  • Sign the Register of Confidential Documents at the Registration Unit counter to confirm submission of the Application.

Processing of Master’s level Academic Scholarship Applications by ACK

Upon receipt of Master’s Academic Scholarship Applications, the following procedure will be enacted by college staff:

  • Registration Unit counter staff member receiving any confidential documents including ACK Master’s level Academic Scholarship Applications should immediately enter the name and student ID (or mobile number if non ACK student) in the Register of Confidential Documents and ensure signature of student in the Register as having submitted the Confidential Document.
  • Senior Manager- Office of the Vice President – Academic Affairs will collect all incoming Applications as they are submitted and hold in secure storage until the closing date which is set as one week subsequent to publication of official results for February semester.
  • On the closing date, Senior Manager- Office of the Vice President – Academic Affairs will collate all applications and prepare a list of applicants. Applicants with a record of violation under the ACK Student Code of Conduct Policy and Procedure or Code of Academic Integrity Policy and Procedure will be removed from the list and explanation noted on application.
  • On the closing date, Senior Manager- Office of the Vice President – Academic Affairs will summarise details relating to each applicant according to the criteria listed on the ACK Master’s level Academic Scholarship Information and Criteria Sheet. The Senior Manager- Office of the Vice President – Academic Affairs will cross check the information on the summary sheet. The Registrar will conduct an independent check of the information on the summary sheet for the top three applicants in order of ranking using the selection criteria.
  • Within a period of one week after the closing date, the summary of applications is to be circulated by the Senior Manager- Office of the Vice President – Academic Affairs to ACK Scholarships Committee to review applications and select short list for personal interview.
  • Within one week after closing date, Academic Scholarship Committee will select the short list of applicants for interview taking into account the selection criteria (ACK.FO.AR.210.02) and any other factors deemed relevant by the committee.
  • Following selection of short list for interview, the Academic Scholarship Committee will meet with each applicant and then determine recommendation of Master’s Scholarship recipient.
  • Within one week after closing date, the committee will submit recommendation to the Dean.
  • Two weeks after closing date; the Vice President – Academic Affairs will make final decision with regard to successful recipient of ACK Master’s level Academic Scholarship and communicate to committee.
  • Two weeks after closing date: Senior Manager- Office of the Vice President – Academic Affairs will email all applicants with notification of result of application. Confirming letter with full details of scholarship will also be presented to successful applicant.
  • Senior Manager- Office of the Vice President – Academic Affairs will notify Finance Department with regard to scholarship for processing payments for initial semester.
  • Student to liaise with Senior Manager - Office of the Vice President – Academic Affairs and Finance Department regarding enrolment at CQU and arrangements for fees payment.
  • Senior Manager- Office of the Vice President – Academic Affairs to confirm all necessary communication details with CQU with respect to receipt of official results each semester and notification of any CQU or Australian Immigration infringements.
  • At end of first semester and each subsequent semester, Senior Manager - Office of the Vice President – Academic Affairs to receive official results from CQU and provide report to committee as well as notification to Finance Department regarding student progress and eligibility for continuation of scholarship.

TERMS AND DEFINITIONS

  • ACK Master’s Degree Academic Scholarship is an award by the college towards the costs of a Master’s Degree at CQU for a distinguished ACK Degree level graduate.
  • ACK Master’s Degree Academic Scholarship Application Form is the official document used to apply for a Master’s Degree Academic Scholarship.
