To Whom It May Concern Letters Policy

PURPOSE

The purpose of this policy is to explain the guidelines and regulations when an ACK student requests a “To Whom It May Concern Letter”.

SCOPE

This policy is applied to any ACK student who submits a To Whom It May Concern Request – System Generated Form (ACK.FO.AR.235.01).

POLICY STATEMENT

  • Students can request ‘’To Whom It May Concern” letter from the Registration Unit counter, after paying the associated fees.
  • The validity of the “To Whom It May Concern” letter is three months from the date of issuing.
  • There are two main types of letters:
    • Standard: contains the below information:
      • Name.
      • Civil ID.
      • Student ID.
      • Major.
      • Current status.
      • GPA.
      • Graduated programs (if any).
      • Start and end dates of current enrolments.
      • Start and end dates of graduated programs (if any).
    • Customized: contains all the information in the standard letter and any additional information requested by the student.
  • It is not allowed to remove any of the above mentioned information.
  • The fees assigned to each type of letter are:
    • Standard Enrollment letter fee amount of KD3.
    • Standard Non Enrollment letter fee amount of KD 3.
    • Standard Graduation letter fee amount of KD 3.
    • Customized “To Whom It May Concern” letter fee amount of KD 5.
  • The fees for “To Whom It May Concern” letter requests are non-refundable.
  • A student with an Academic Hold (Stop) on his/her PowerCampus record cannot submit a To Whom It May Concern Letter request.
  • Requests will be processed only when a student has paid in full the required fees.
  • To Whom It May Concern Letters will be issued as follows:

Enrolment
Residency
New registered students: From first day of classes at beginning of each semester.
Continuing registered students: Anytime.
Not Enrolled Not registered students.
Anytime.
Graduation Two weeks after release of final grades.

Note: To Whom It May Concern letters will not be issued during the period of last day of exams to the release of final grades.

  • Time frame for receiving any Standard To Whom It May Concern Letter is three (3) working days.
  • Time frame for receiving any Customized To Whom It May Concern Letter is five (5) working days.
  • At the time of making the To Whom It May Concern Letter request, students can request PUC endorsement of their letter. The time frame for PUC endorsement is fourteen (14) working days.
  • A notification will be sent to a student’s ACK official email account when the requested letter is ready for collection.

TERMS AND DEFINITIONS

  • To Whom it May Concern: A letter given to a student upon his/her request which states the status of the student in a certain semester with any necessary and requested details.
  • Academic Hold: When a student has a “Stop” placed on his or her record on PowerCampus per the terms of the Academic Hold Policy (ACK.PL.AR.201).
  • PUC: Is the Private Universities Council.
  • PowerCampus: Online Student Enrollment System utilized by ACK.
